Hotel FF&E Checklist for Furniture and Natural Materials

Handcrafted teak seating set for hotel or resort outdoor spaces

A hotel FF&E package includes many pieces that must arrive with the correct dimensions, finish, quantity and installation requirements. Natural materials add character, but they also require clear specifications and realistic expectations about variation. The following checklist helps organize an early furniture review.

Project Information

  • Property name and location
  • New construction, renovation or phased replacement
  • Design, purchasing, ownership and operations contacts
  • Mockup-room date, opening date and installation phases
  • Receiving warehouse or direct-to-property plan

Guest-Room Furniture

  • Headboards and wall-mounted elements
  • Nightstands and integrated power requirements
  • Desks, chairs and luggage benches
  • Accent chairs, ottomans and side tables
  • Mirrors, shelving and decorative lighting
  • Suites, accessible rooms and connecting-room variations

Public-Area Furniture

  • Lobby seating and statement tables
  • Restaurant and bar furniture
  • Corridor consoles and decorative objects
  • Meeting, event and communal tables
  • Poolside loungers, daybeds and cabanas
  • Outdoor dining and terrace furniture

Specification Details

Each item should include dimensions, quantity, material, finish, upholstery, hardware and location. Indicate whether pieces are fixed, freestanding, wall-mounted or require assembly. For custom work, drawings should identify the final approved design rather than relying only on mood-board imagery.

Natural Material Expectations

Teak, Suar wood, reclaimed wood, rattan and stone include natural variation. Define whether the project accepts broad variation or requires a tighter coordinated range. For repeated guest-room furniture, controlled materials and approved finish samples may be more appropriate than highly irregular slabs or roots.

Outdoor Review

Mark every outdoor piece as covered, partially exposed or fully exposed. Include pool chemicals, salt air, rooftop wind and storage practices in the review. Natural rattan should not be specified as if it were synthetic outdoor fiber.

Mockups and Samples

  • Approve wood tone and finish
  • Confirm fabric and rope color
  • Test seat comfort and table relationships
  • Review hardware and assembly
  • Check dimensions inside the actual room when possible

Packaging, Receiving and Installation

Identify carton labels, room coding, warehouse inspection, damage reporting and installation responsibilities. Oversized furniture may need special crating, removable components or on-site assembly. The receiving team should have the final item schedule before arrival.

Closeout and Maintenance

Request care instructions, spare components where practical and finish information for future maintenance. Operations staff should understand how natural wood, woven materials and outdoor cushions will change and how they should be cleaned.
